How to Ask Customers for Reviews (and Reply to Them) the Right Way

Simple scripts for asking Southeast Texas customers for honest reviews, reply templates for praise and criticism, and the review rules to follow.

The right way to get more reviews is to ask every customer for an honest review at the moment they're happiest with your work, on a platform they already use, with a direct link that makes it quick. The right way to reply is promptly, briefly and specifically: thank the customer by name, mention what they enjoyed, and offer a direct way to follow up when a customer raises a concern. Ask all of your customers the same way and let each review be the customer's own words, freely given. That approach builds trust with future customers and follows Google's review policies and the federal rules on reviews.

Why reviews deserve your time

Reviews are often the last thing a customer reads before calling. Google's local ranking guide also notes that more reviews and positive ratings can help your business's local ranking. And when you reply thoughtfully, every future customer who reads the exchange sees how you treat people.

When to ask

Timing matters more than wording. Ask right after a moment of success:

Contractors and home services: at the final walkthrough, when the customer sees the finished job.

Restaurants and cafes: when a guest compliments the meal, or with a card or QR code delivered with the check.

Auto repair shops: at pickup, after you explain the work and hand back the keys.

Medical, dental and professional offices: in a follow-up text or email after the appointment, sent to every patient or client.

Retail shops: at checkout, with a small counter sign or a message on the receipt.

Whatever your field, the best moment is the one when the customer is already pleased. Browse how other local businesses present themselves, such as home services in Beaumont, restaurants and food in Port Arthur, auto and automotive businesses in Orange or health and medical providers in Lufkin, and you'll see how reviews and owner replies help customers choose.

How to ask: scripts you can use

Keep requests short, personal and honest. A few examples to adapt:

In person: "Thanks for choosing us today. If you have a minute, an honest review on Google really helps other folks in Beaumont find us. Can I text you the link?"

By text: "Hi Maria, thanks for letting us take care of your AC today. If you're up for it, we'd appreciate an honest review here: [link]. Thanks, James"

By email: "Thank you for your visit. We'd love to hear how it went. You can share an honest review on Google or on our Southeast Texas Business Directory listing: [link]."

On a card or receipt: "Enjoyed your visit? Scan the code to share an honest review."

Every script has the same three parts: it asks for an honest review, it goes to every customer, and it makes the next step obvious.

Make leaving a review easy

Google: Your Google Business Profile includes an option to share a link that takes customers straight to your review form. Text it, email it, or turn it into a QR code for your counter, menus or invoices.

The Southeast Texas Business Directory: The directory has more than 23,000 Southeast Texas business profiles, and every listing page has a review section where customers choose a star rating, enter their name and email, and add an optional comment. Share your listing's web address so customers land right on it. Reviews appear on your listing after our team approves them.

Other platforms: Each platform sets its own rules. Yelp, for example, asks businesses to let customers find and review them on their own, so for Yelp, focus on great service and add a link to your Yelp page on your website.

Follow the rules that keep reviews trustworthy

Honest reviews are valuable because customers trust them. A few rules protect that trust:

Google's policies prohibit offering incentives such as payment, discounts, free goods or services in exchange for reviews. They also prohibit discouraging negative reviews or selectively asking only happy customers for reviews. Ask everyone the same way.

The Federal Trade Commission's rule on consumer reviews and testimonials, in effect since October 21, 2024, prohibits fake reviews, buying reviews, offering rewards on the condition that a review be positive or negative, and using threats or intimidation to suppress honest negative reviews.

Reviews should come from real customers. Invite employees, relatives and business partners to support you in other ways, such as sharing your posts or referring friends, so your reviews reflect genuine customer experiences.

The simple version: ask every customer for an honest review, keep rewards separate from reviews, and let customers write in their own words.

How to reply to reviews

Reply to every review, positive and critical, ideally within a few days.

Use the customer's name and mention a detail from their review so the reply feels personal.

Keep it brief. Two to four sentences is plenty for most replies.

Move detailed problems to a direct conversation by offering a phone number or email address.

Protect privacy. Leave out account details, job specifics the customer didn't mention and anything personal. Healthcare practices should keep replies general, such as a thank-you and an invitation to call the office, so every reply protects patient privacy under HIPAA.

Reply templates

For a five-star review: "Thank you, Denise! We're so glad the new water heater has you back to hot showers. We appreciate you choosing a local Nederland business, and we're here whenever you need us."

For a four-star review with a suggestion: "Thanks for the kind words, Carlos, and for the tip about Saturday wait times. We're looking at ways to move weekend appointments along faster. We hope to see you again soon."

For a critical review: "Thank you for telling us about this, Pat. We want every visit to go smoothly, and we'd like to make this right. Please call me directly at (409) 555-0123 so we can talk it through. Angela, Owner"

For a review that may be about another business: Use the platform's reporting tool if the review breaks its rules, and reply politely in the meantime: "Thank you for sharing this. We'd like to learn more about your visit so we can help. Please call us at (409) 555-0123."

Replying to reviews on the Southeast Texas Business Directory

Once your listing is claimed and approved, you can reply to reviews from your owner dashboard. Open your listing, go to its reviews page, and write your reply under the review (up to 1,000 characters). Your reply appears beneath the customer's review on your public listing, so future customers see both. The reviews help guide covers each step.

If your listing is still unclaimed, claim it free. Claiming gives you the tools to reply to reviews and keep your details current.

Frequently Asked Questions

Can I ask customers specifically for five-star reviews? Ask for an honest review instead. The FTC's rule prohibits offering rewards conditioned on a positive review, and Google's policies call for asking all customers in the same way rather than only happy ones.

Can I offer a discount for leaving a review? Google's policies prohibit incentives for reviews, including discounts. Thank customers with great service, and keep loyalty rewards and referral programs separate from reviews.

Should I reply to old reviews? Yes. A thoughtful reply to an older review still shows future customers how you treat people. Start with the most recent reviews and work backward.

Can I get a negative review removed? Platforms remove reviews that break their policies, such as spam, off-topic content or conflicts of interest, and each one offers a way to report them. For honest criticism, a calm, helpful reply is the best response, and it shows future customers how you handle a problem.

How many reviews does my business need? Any steady flow helps. Recent, genuine reviews give customers a current picture of your business, so make asking a regular part of every job.
